Meetings can be the most productive
use of time or the biggest waste of time. The success of a
meeting depends on a number of variables, some controlled by
the meeting planner, some controlled by the meeting attendee
and some that can not be controlled.
Conducting a successful meeting
It all
starts at the planning stages. If meeting panning is not
your primary job or if you plan numerous meetings in a year
sometimes its good to get a third party meeting planner
involved to help with new ideas and to highlight new meeting
venues.
Types of Meetings
Meetings have various
shapes and sizes including: Sales Meetings, Customer Meetings,
User Group Meetings, Association Meetings, Group Meetings and
Conventions. Most meeting are for 10 to 50 people and are
planned by someone internal to an organization. The trend is
to use a professional meeting planner to get the most out of
the meeting investment.
Meeting Objective
From the beginning it is important to
determine the objective of the meeting. Is it to inform,
to conduct business, to educate users? Other objectives could
be measurable outcomes. Perhaps number of associates attending
or completing exams or certifications. Sales of products or
number of qualified leads can also be areas of measurement.
This can also be used to determine meeting ROI or return on
investment.
